Vault
Store, organise, tag, and share your files, and attach them to any record.
The Vault is your workspace file store. Anything you would otherwise keep in a folder someone has to email you about — contracts, signed PDFs, spreadsheets, reference images — goes here, where it can be found, attached to the record it belongs to, and shared outward.
Navigate to Vault from the main sidebar.
Uploading
Drag files onto the file pane, or use the Upload button.
Each upload can carry a folder, tags, and an expiry date. Files can also be left unfiled and sorted later.
Where Files Live
The left rail gives you:
- All files — everything in the vault.
- Unfiled — files with no folder.
- Starred — files you have flagged.
- Expiring — files with an expiry date approaching, with a count.
- Trash — deleted files, until you purge them.
Below that is your folder tree and your tags, each with a file count. Folders nest, and can be renamed, moved, or deleted from their own menu. A storage meter at the bottom shows how much of your plan's Vault allowance you are using.
Access
Every file and folder is one of two things:
- Everyone — any member of the workspace can open it.
- Restricted — only the person who uploaded it, plus owners and admins.
A folder's access applies to everything filed inside it, so setting a folder to Restricted protects the whole subtree at once. Restricted folders are marked with a lock in the tree.
This is the only fine-grained permission in the workspace. Access is not otherwise configurable per person — there is no "share with Alice" inside the app.
Grid and List
Toggle between a thumbnail grid and a dense list. The list view adds columns for tags, what the file is attached to, folder, access, size, who uploaded it, and the date — sortable by name, size, or date.
Images get real thumbnails. Everything else gets a file-type tile.
The File Record
Click a file to open its details, which has three tabs.
Overview — a preview where the format allows it, plus the file's properties: folder, access, expiry, type, and who uploaded it. Most of these are editable in place.
- PDFs, images, and spreadsheets preview inline.
- Word documents, PowerPoint, and archives do not preview — download them instead.
- Spreadsheet previews show the first worksheet only, capped at 200 rows.
Links — which records this file is attached to. You can attach it to a company, contact, invoice, quotation, task, or bill, and unlink it again. This is what lets a contract sit in one place and still show up on the customer's record.
Activity — the file's history: which version superseded which, and who viewed or downloaded it and when.
From the footer you can Download, Share externally, or Move to trash.
Sharing Externally
The Share externally option creates a public link that works without a Qyri account — the same mechanism as the customer portal.
You choose:
- Expiry — 1, 7, 30, or 90 days. This is required.
- Download limit — unlimited, one download only, or up to 5.
Existing shares are listed with their status — Active, Revoked, or Expired — the expiry date, and how many downloads have been used. Copy the link or revoke it from there.
Every failure looks the same to the person holding the link. An expired, revoked, exhausted, or wrong link all show one "no longer available" message, so a recipient cannot tell which it was.
Tags
Tag files to group them however makes sense to you. The tag list in the rail shows a count per tag; clicking filters the file list. A tag typed into the editor that does not yet exist is created on save, and tags can be renamed, recoloured, or deleted from the tag manager.
Versions
Uploading a new version of a file you already have keeps the old one in its history. The details panel shows which version superseded which and when — worth knowing before you replace a signed contract.
