Payment Reminders
Schedule, track and manage automatic chaser emails around an invoice due date.
Payment reminders are emails Qyri sends on your behalf, timed relative to an invoice's due date. They exist so a late payment does not depend on you remembering to chase.
Navigate to an invoice and choose Send Reminder.
Scheduling Reminders
Who the reminders go to. The customer's contact email is pre-filled and you can change it, add a CC, and set the from address.
Subject and body. Both are required — the text you write is what gets sent.
Tick one or more of the available dates, before or after the due date. At least one must be selected.
The Available Dates
Four offsets, each offered on both sides of the due date:
| Offset | |
|---|---|
| 2 days | before or after |
| 5 days | before or after |
| 7 days | before or after |
| 14 days | before or after |
A date that has already passed is disabled — you cannot schedule a reminder into the past. The day 2 after is pre-selected for you.
Managing Reminders After Scheduling
Reminders are fully tracked. Open an invoice and click the bell icon in its header to open the Payment reminders drawer. It lists every reminder ever scheduled for that invoice — including the ones that already went out — and a badge on the icon tells you at a glance whether anything is still scheduled or has failed.
On each row you can:
| Action | When it is available |
|---|---|
| Send now | Reminder is still pending or queued. Sends immediately instead of waiting for its date. |
| Reschedule | Reminder is still pending or queued. Move it to a new date and time. |
| Cancel | Reminder is still pending or queued. The scheduled send is removed, so the customer never receives it. |
| Retry | Reminder failed after exhausting its delivery attempts. Re-queues the send. |
The drawer also has a Schedule reminder button, which opens the same dialog as Send Reminder, so you can add more dates to an invoice you are already looking at.
Editing the recipient, subject or message is also possible while a reminder is still pending or queued.
A reminder that has already been sent, skipped, failed or cancelled can no longer be changed — the record is the audit trail, not a draft.
Reminders Are Cancelled For You
You do not have to remember to clean up. Reminders are cancelled automatically when:
- the invoice is marked as paid — no chasing someone who already paid;
- the invoice becomes a draft again;
- the linked reminder task is completed or deleted.
The reason is recorded on the reminder, so you can always see why it stopped.
Reminder Statuses
| Status | Meaning |
|---|---|
| Scheduled | Created, not yet due. |
| Queued | Handed to the send worker, waiting on its date. |
| Sent | Delivered. The send time is recorded. |
| Skipped | Not sent — the invoice was paid or still a draft when the date arrived. |
| Failed | Delivery failed after retries. The reason is recorded and you can retry it. |
| Cancelled | Stopped before sending, by you or automatically. The reason is recorded. |
A reminder for an invoice that gets paid is normally cancelled rather than sent, so you will not chase someone who has already paid.
Notifications
You are told what Qyri did on your behalf. When a reminder is sent, skipped or fails you get an in-app notification, and you can also get an email for failures. Turn these on or off in Settings → Notifications → Payment reminders.
Reminders and Recurring Billing
A one-off invoice's reminders are manual, as above. If you bill a customer on a recurring schedule, the reminders defined on that schedule apply automatically to every invoice it generates — which is the practical way to chase retainers without re-entering dates each cycle.
